Organized Meetings
- The following proposal will only be gone over briefly at the meeting. The following just go into more detail and provide support for the idea. The whole proposal could be summarized into ¡§please raise your hand when you have something to say¡¨. This proposal was inspired by the fact that student council has held the tradition of shouting out ideas for many years. Hopefully this proposal could help organize things and improve things for the better. Since we are expecting new members soon, we should do our best to try to make everyone feel involved in the council, even if they can¡¦t shout over Frannie (since Frannie is GOD! ƒº)
This year in student council, we are very fortunate to have quite a large group. However, it is also a lot more difficult to manage and hard to make sure that everyone has the opportunity and is able to contribute and speak their mind. Though our group is very enthusiastic, energetic, and eager to contribute, there are those among us (myself included) who are more quiet and shy, but nevertheless have important and useful things to say.
To help deal with the issue, I propose a simple method of conducting our meetings that would be able to fairly allow student council members to voice their questions, concerns, and informative opinions. First, I would like to ask everyone to raise their hand when they have something to contribute. Since Mr. Hartley Folz is the Byng Arts Coordinator, and Christy and myself are your co-presidents, we would also act as facilitators during our meetings. As facilitators, our role in the council is to acknowledge each hand that is raised, and address each issue one at a time in order. For each issue that is raised, we would answer any questions or concerns and decide whether we should open the issue to free discussion, or move on to the next issue and the next hand that is raised. Whenever the three of us, the facilitators, find that the discussions are going out of control, and that few voices are heard, and that little progress is made, we will simply raise our hand and ask for your attention. When you see us doing this, please pause your discussions and bring your attention towards whomever we designate to speak next.
I believe that this method would prove an improvement to our usual way of conducting meetings. Many a times I find myself having to raise my voice to get everyone¡¦s attention. Though my voice can be quite loud, it would be very easy for the twenty of you to just drown out my voice. Through this method, no one would need to shout, and everyone will get their turn in speaking out their ideas in an orderly fashion. Our meetings do have a limited amount of time, so if you were not able to speak your mind at the meeting, please record all your ideas down on paper and either give them to Mr. Hartley Folz, Christy, myself, Aaron, or just the suggestion box in the office if you miss all of us. This way we would ensure that no idea is left out.
I¡¦m sure that each of you, when you have something important to say, want your voice to be heard, like how I myself, when I have something important to say, wish for your full attention. Each of you, whether elected or not elected, is a representative of the student body when your voice influence the workings of the council. Thus it is very important to fairly give opportunities of speech to everyone in this room. I believe our group of council members is fairly diverse, with each person having a unique background. And because of this diversity, it makes it even more important that each individual is respected and heard in this council.
As I said, though it is wonderful to have such a large student council, it is also difficult to manage. With your cooperation, you would help make the lives of your committee leaders and executive members a lot easier and would ultimately help to make the student council run more smoothly and effectively as a whole.
